Volunteer Scheduling Coordinator

Classification:  Non-Exempt  (Full Time), M-F 7:00 a.m. – 3:30 p.m.

Job Reports To: Volunteer  Services Supervisor

Next Level:    VP of Development

Job Summary:

To support the Volunteer Services department in daily functions of operations which include, scheduling all volunteers, assisting with volunteer distribution, and delivering meals as needed.

Major Responsibilities:

1)         Work closely with Volunteer Services Supervisor to schedule all volunteer shifts, distributions, group activities and special events as needed. Use community leads, existing volunteer database and other sources to recruit/solicit available volunteers. 

2)         Maintain updated schedule on shared drive, ensure all volunteers complete an application and data is uploaded in Better Impact. 

3)         Follow up with volunteers to promote a sense of value and engagement.

4)         Assist with HDM volunteer pick-up Tues – Friday, loading cars and dispensing bags, water, and other items volunteers need to complete deliveries.

5)         Work closely with Volunteer Services Supervisor and Volunteer Services Coordinator on Better Impact (scheduling software) to recruit and coordinate volunteer assistance for every area of MOWP. Assist with promoting, educating, and encouraging volunteers to schedule online.

6)         Work closely with Volunteer Services Supervisor on ideas to retain and recognize volunteers.

7)         Deliver meals if needed. Redeliver meals as needed in the afternoons.

8)         Build positive rapport with many volunteers, remembering their names and preferences for volunteer service.

9)         Tally and submit volunteer mileage vouchers monthly.

10)       Assist with administrative tasks including updating and reporting volunteer hours, filing, emailing correspondence, tracking & storing route sheets, etc.

11)       Write and continually update a desk procedure including any software procedures which provide a step-by-step process for your daily tasks.  Make them available on SharePoint.

12)      May perform other duties as assigned by supervisor.

Minimum Requirements:

•          High School Diploma or equivalent.

•          Valid Florida Driver’s license and driver’s insurance.

•          2 years’ experience applying basic computer skills, including Microsoft Excel, Word, and Outlook. 

•          Experience learning new web-based software.  Knowledge of Better Impact and MS Publisher a plus.

•          3-5 years of working in a professional environment, preferably with volunteers or in nonprofit organizations.

•          Outgoing, positive personality with great motivational and customer service skills.

•          Exceptional organizational and time management skills with great attention to detail.

•          Able to read and follow maps, use a GPS, follow directions, strong knowledge of Manatee County a plus.

•          Must be a problem-solver and able to coordinate several activities simultaneously.

•          Works well under pressure and can meet deadlines with accurate results.

•          Must be a team player, and able to work independently within the guidelines of the position.

•          Must have good oral and written communication skills and follow directions well.

•          Must be detailed oriented, especially entering data.

•          Ability to interact and relate to elderly and handicapped people while handling confidential information with discretion and compassion.

•          Spanish language skills a plus.

•          50% of this role is physical delivery of meals and manual duties; 50% is office work.

•          Must be able to stand and sit for extended periods, bend, push and lift or carry 25-50 pounds.
